West Byfleet Bowls Club Ltd - New Club House Proposal

Your Fund Surrey

Dear all

You will pleased to learn that our final submission to Your Fund Surrey for our new Clubhouse has been sent to them.

Following some upgrades to the specification the final figure being requested is £1,317,103 including 20% VAT, 2.5% contingency and 2.5% inflation.

As part of our procurement exercise, up to ten builders had been contacted and then reduced to five by the time the Quantity Surveyor had done his work. This was then whittled down to two who were sent a due diligence questionnaire about their organisations. Amongst other information, we requested each to provide details of two contracts they had recently undertaken. One gave us details of house construction, whilst the other cited two clubhouses they had built fairly locally. These were at Sunbury and Walton Sea Cadets and Addlestone Canoe Club.

Clearly, the clubhouse contracts were much more akin to the type of work we shall require and both clubs were contacted and visits undertaken.

Due to the glowing references from both clubs and the obvious high standard of the work involved,
together with a recommendation from Tim Russell who used to have contact with Ascot as part of his work before he retired, the relevant builder, Ascot Build and Design Ltd, is now our preferred bidder.

There is nothing further we can do now but wait for a response from YFS.

On behalf of the Club and its Members, I would like to offer grateful thanks to the New Clubhouse Sub-Committee, and particularly to John Tiller, for all the hard work that has gone into the various iterations of our submissions to YFS. The final result is not only very voluminous (48 files) and comprehensive, but of a very high standard, in my view.

I would like to find a way to show our submission to you, our Members and our local supporters. Due to the size, sending this to you by normal electronic means is not really viable. John and I will work on a way to produce a version that all can see. However, if you have any questions in the meantime, I would be glad to hear from you.

Regards.

Robin.
